You sign in to ClearMyRound with Google, and that is the only personal information we ask for. This page says exactly what data exists, where it lives, and who else sees it.

The short version

Your resume and notesStay on your computer. Sent with a question when you ask one; never stored on our servers.
Call audioStreamed to our transcription provider while a session runs. Not recorded, not written to disk.

Who we are

ClearMyRound is the desktop application and the licence service behind it. If you are in the UK or EU, we are the data controller for the information described below. Written questions and requests go to support@clearmyround.com.

What stays on your computer

Most of what the app knows about you never leaves it. This is held in a configuration file in your user profile, in plain text except where noted:

  • Your resume, the job description and your notes. You paste these in. They are stored locally and sent with a question at the moment you ask one, so the answer can be grounded in them. We do not keep a copy.
  • Past sessions. When a session ends, its transcript and the answers you were given are saved in the app's folder on your computer, so you can look back at them. They are never uploaded to us. Delete any of them from Past sessions, or switch saving off there and nothing more is kept. Only the most recent 200 are kept.
  • Your settings and any modes you write.
  • A device token, and the name and email of the account signed in. The device token is encrypted using your operating system's credential store where one is available.

Anyone with access to your computer and your user profile can read that file. It is not protected against someone already signed in as you.

What we hold on our servers

The licence service stores the minimum needed to know which plan is yours, sell you something, and stop one free trial being claimed fifty times:

AccountYour name, email address and profile photo from Google, and Google's identifier for your account, so the same person signing in again finds the same plan. The email also receives your welcome message, receipts and our replies.
Plan and statusWhat you bought and whether it is active.
UsageMinutes of listening used, when each listening session started and ended, and a count of answers given. Numbers and times only — never the questions or the answers.
Free trial recordWhich laptop used the free trial, how much of it is left, and a one-way hash of your Google identifier. The hash cannot be turned back into your Google account; it only tells us whether that account has had a trial before.
DevicesFor each computer signed in to your account: a fingerprint derived from the machine, the machine's name as your operating system reports it, and when it was last used.
Payment referenceIdentifiers from our payment provider for each purchase and payment, so a purchase, a renewal or a refund can be matched to a licence. If a purchase made at the Indian price is billed to an address in another country, we also note that country so we can review it.
Crash reportsWhen the app fails, what went wrong and where in the app, the app version and the Windows version, linked to your account if you are signed in. Never a transcript, a question, an answer or your resume: before anything is sent, your computer removes folder paths that contain your user name and any quoted text an error message carries, which is where such data could otherwise appear.
FeedbackIf you send feedback from the app: your rating, what you wrote, the app version, and whether you agreed to be quoted.
Download requestsIf you give your email address to download the app: that address and which version you downloaded.

The machine name often contains a person's name, because that is how people name their computers. We use it only so you can recognise your own devices in a list.

Who else sees your data

We use a small number of processors. We do not sell your data, and we do not share it for advertising.

Transcription providerReceives your call audio while a session is running, to turn it into text. The audio passes through our servers on the way, which forward it and store none of it. It is not retained for training.
AI model providerReceives your question, the relevant part of the transcript, the resume, job description and notes you supplied, and a screenshot of your screen when you ask about what is on it, so the answer can be grounded in your own experience. We do not keep the request after the answer is written.
Payment providersRazorpay, for payments made in India, and Dodo Payments, our merchant of record for payments made elsewhere. They collect your email, billing details and payment details to take the payment; we never see your card or bank details.
GoogleConfirms who you are when you sign in. We ask only for your name, email address and profile photo.
Email providerDelivers your welcome message, purchase confirmations and our replies.
Hosting and infrastructureRuns the licence service and stores the database.

These providers operate in various countries, so your data may be processed outside the country you are in. Where that is the UK or the EU, transfers rely on standard contractual clauses or an adequacy decision.

What we do not do

  • We do not record your calls, and we do not store audio anywhere.
  • We do not keep your transcripts, your questions or the answers you were given on our servers. Past sessions stay on your computer.
  • We do not use anything you send us to train a model.
  • We do not use advertising trackers or third-party analytics in the application.
  • We do not sell, rent or trade your information.

How long we keep things

  • Licence and purchase records are kept while the licence exists and afterwards for as long as tax and accounting law requires — generally several years.
  • Your account is kept until you delete it. Deleting it from the account page removes your name, email, photo and devices at once; purchase records stay only as long as tax law requires, attached to no one.
  • The free trial record stays after the account is deleted, for as long as we offer a free trial: the laptop's fingerprint and the hash of your Google identifier, with no name or email. Without it, deleting an account and signing in again would be a new free trial every time. Signing in again with the same Google account gives you back the trial you had, not a new one.
  • Device records are removed when you sign a laptop out — from the app, or from the account page for a laptop you no longer have — when you delete your account, or after 90 days without use, at which point that laptop signs in again.
  • Crash reports are kept for 45 days.
  • Feedback is kept for two years, and download requests for one year.
  • Support emails are kept for two years.
  • Audio is not kept anywhere. Transcripts, questions and answers are not kept on our servers; on your computer they stay under Past sessions until you delete them or switch saving off.

Your rights

Depending on where you live, you can ask for a copy of what we hold, ask us to correct or delete it, object to how we use it, or ask for it in a portable form. Write to support@clearmyround.com and we will respond within 30 days.

You can delete your account yourself, at any time, from the account page on this site. Doing so ends any time left on your plan: we cannot keep a plan working for an account whose record has been erased, and this is worth knowing before you do it.

Our lawful basis is the contract between us for licence and usage data, and our legitimate interest in preventing abuse for the device fingerprint and the free trial record.

Children

ClearMyRound is not intended for anyone under 16, and we do not knowingly collect their data. If you believe a child has used it, write to us and we will remove the record.

Changes

If this policy changes in a way that affects what we do with your data, we will update the date at the top and, where the change is material, tell account holders by email.
